What an invoice has to contain

An invoice is a legal document, not just a request for money, and the minimum content is set by where you trade.

United Kingdom

HMRC requires every invoice to carry a unique identifying number, your business name and address, the customer’s name and address, a clear description of what you are charging for, the date the goods or services were supplied, the date of the invoice, the amount being charged and the total owed. Sole traders must show their own name plus any trading name and an address where legal documents can be served; limited companies must use the full registered name. If you are VAT-registered the invoice additionally needs your VAT number, the unit price, the VAT rate applied to each item, the total excluding VAT and the total VAT charged.

European Union

Article 226 of the VAT Directive (2006/112/EC) sets a near-identical list for the whole single market: date of issue, a sequential number that uniquely identifies the invoice, the supplier’s VAT identification number, the customer’s VAT number where the reverse charge applies, both parties’ full names and addresses, the quantity and nature of what was supplied, the date of supply, the taxable amount per rate, the rate applied, the VAT payable, and an explicit reference to any exemption or reverse-charge treatment.

United States

There is no federal invoice format. What matters is charging the right sales tax for the destination state and keeping records that reconcile with your returns; if you are paying a contractor $600 or more in a year you will also need their details for a 1099-NEC. Show the invoice number, both addresses, itemised charges, sales tax broken out by jurisdiction, and the payment terms.

Numbering, terms and rounding

Numbers must be unique and should be sequential, because an unexplained gap is exactly what an auditor asks about. Pick one scheme — 2026-001 or ACME-0042 — and never reuse a number, even for a cancelled invoice; issue a credit note that quotes the original number instead.

Net 30 is the common default, but in the UK the Late Payment of Commercial Debts (Interest) Act 1998 lets you charge statutory interest at 8% above the Bank of England base rate plus fixed compensation of £40, £70 or £100 depending on the size of the debt, once payment is late. Saying so on the invoice tends to work better than claiming it afterwards.

This generator rounds each line to two decimal places, sums those lines into the subtotal, applies any discount, then calculates tax on the discounted net figure and rounds that once. That is the behaviour most accounting packages use, so your totals will reconcile.

Limits

The PDF uses the standard Helvetica font built into every PDF reader, which covers Latin (WinAnsi) characters. Arabic, Urdu, Chinese, Japanese, Korean, Greek, Cyrillic, Hebrew and Devanagari text is replaced with a question mark. Long descriptions wrap automatically and the invoice continues onto extra A4 pages when it needs to.

Frequently asked questions

Is my client data uploaded anywhere?

No. The PDF is assembled by JavaScript in this tab using pdf-lib. Nothing is sent to a server, and closing the page discards everything.

Can I add my logo?

Not yet — this version is typographic only, with an accent colour you choose. For a logo, open the PDF in a free editor and place the image, or put your business name in the From field where it prints in bold.

How do I invoice without VAT?

Set the tax rate to 0. The tax row still prints at 0%, which is what an exempt or zero-rated invoice should show. If you are not VAT-registered, do not show a VAT number or charge VAT at all.

What if a line has no quantity?

Leave it out: "Retainer, June | | 1200" is read as quantity 1. Prices can include currency symbols and thousands separators — they are stripped before the maths.

Does it keep a record of invoices?

No, by design. Nothing is stored, so keep the PDF yourself and note the next number to use — your records are your responsibility under both HMRC and EU rules.
